Purpose

Use the Content Marketing Agent to plan, approve, schedule, post, and learn from parent-facing content for CustomWalkoutSong.com individual player sales.

The agent supports the workflow. It does not publish without explicit approval.

Core Rules

  1. No school names, mascots, logos, or school-affiliated branding.
  2. Speak primarily to parents, not players.
  3. Keep the tone energetic, confident, fun, and family-friendly.
  4. Avoid profanity, offensive language, cringe slang, hard-sell tactics, and excessive emojis.
  5. Keep the offer simple: an individual custom walkout song is $10.
  6. A post is approved only when copy, creative asset, and timing are all approved.
  7. If approved copy, creative, or timing changes, move the post back into review.
  8. Google Drive is the system of record for all audio assets.
  9. Canva is for visual design, temporary audio application, video edits, and final exports only.

Platform Responsibilities

Canva: Visual asset organization, design templates, inspiration libraries, published post references, raw image and video asset management.

Google Drive: Audio asset storage, audio asset archival, documentation storage, published content backup, and long-term file management.

Trello: Workflow management, approval processes, and editorial status tracking.

Content Marketing Manager: Content planning, recommendations, captions, asset recommendations, performance analysis, and workflow support.

Traffic-Informed Platform Distribution

Current Phase 1 planning should prioritize Facebook because it is driving far more traffic than TikTok.

Default 30-day plans should use approximately 26 Facebook-first posts and 4 TikTok repurpose slots.

TikTok should be used selectively to repurpose the strongest Facebook concepts into vertical short-form cuts, not as an equal-volume primary channel.

Do not use Canva as the long-term repository for audio libraries, MP3 archives, completed walkout songs, or primary audio retrieval.

Step-by-Step Workflow

  1. Generate a campaign

Open the Content Marketing Agent and create a 30-day Individual Player Sales Calendar. Choose a campaign theme when the entire campaign is focused on a moment such as All Stars, Playoffs, or Tournament Weekend. Leave it blank to rotate standard themes.

  1. Review the daily planner

Use the day picker to move through the campaign one day at a time. Check the platform, content type, content bucket, title, timing, and current status.

  1. Review the post package

For each day, review the hook, caption, suggested hashtags, creative direction, and asset needs.

  1. Confirm Canva format

Use Platform and Content Type to mirror the Canva workflow: open Canva, choose Social Media, choose the platform, then choose Facebook Post, Facebook Video, Facebook Story, or the appropriate TikTok repurpose format. For video or story formats, confirm the recommended duration before creating the asset.

  1. Name the Canva design

Use the Suggested Canva File Name when creating or renaming the Canva design. The app checks existing suggested names before saving and appends a version suffix if the name has already been used.

  1. Confirm or update hashtags

Use the suggested hashtag field as the starting point. Remove anything that feels too broad, off-brand, school-specific, or not relevant to the post.

  1. Gather assets

Use Canva for visual assets and Google Drive for audio assets. Add the Canva design link, Google Drive audio link, file name, folder, or manual note in Asset Reference.

  1. Approve copy

Check Copy only after the hook, caption, hashtags, and offer language are correct.

  1. Approve asset

Check Asset only after the creative asset is complete, brand-safe, free of school names, mascots, logos, or school-affiliated branding, any required audio is referenced from Google Drive, and video/story duration matches the recommendation.

  1. Approve timing

Check Timing only after the platform and recommended date/time are appropriate.

  1. Save the package

Click Save Package. The post can only move to Approved when copy, asset, and timing are all approved.

  1. Prepare the Trello card

Open the Trello-ready card section. Use the card title and description to create or update the corresponding Trello card.

  1. Schedule manually

After approval, schedule the post in the appropriate platform tool or manual publishing workflow. Then mark the post Scheduled.

  1. Confirm posting

After the post goes live, mark it Posted.

  1. Capture performance

Add notes for clicks, saves, shares, comments, inquiries, sales signals, or qualitative feedback.

  1. Add recommendation

Write what should happen next: repeat this format, revise the hook, try a new style, change timing, repurpose later, or reduce this bucket.

  1. Repurpose later

If the post has reusable value, mark Repurpose Later after performance notes are captured.

Status Definitions

Ideas: Concept exists but has not been packaged for approval.

Needs Assets: Copy exists, but the creative asset or reference is missing.

Draft Ready: Copy and asset direction are ready for review.

Awaiting Approval: At least one approval item is checked, but copy, asset, and timing are not all approved.

Approved: Copy, asset, and timing are all approved.

Scheduled: Approved content has been placed into a scheduling workflow.

Posted: Content has gone live.

Repurpose Later: Content or concept should be reused in a future cycle.

Daily Review Checklist

  1. Does this speak to parents?
  2. Does it make a player feel celebrated, confident, or game-day ready?
  3. Is the $10 individual player offer clear when needed?
  4. Are school names, mascots, logos, and school branding excluded?
  5. Are hashtags relevant and family-friendly?
  6. Is the creative asset identified or requested?
  7. Is the suggested Canva file name used or updated?
  8. If this is video or story content, is the recommended duration clear?
  9. If audio is needed, is the Google Drive audio file or folder referenced?
  10. Are copy, asset, and timing approvals accurate?
  11. Is the Trello card ready?
  12. Is performance learning captured after posting?
